FAQ - Glossary of Terms |
| Auto-Responder Campaigns |
The Automated Campaign feature allows you to automatically send a series of pre-recorded or pre-written information to your prospects or new recruits over a period of hours, days, weeks or months. |
| Call Screening |
When using the Follow-Me feature, you will be screening your calls. The system will prompt the caller to record their name prior to ringing your Follow-Me programmed numbers. Your caller-id will display your 800 number and you will hear the system state "You have a call from" followed by the person's recorded name. Next the system will ask you to press 1 to answer the call or press 2 to send the call to voicemail. |

| CRM |
Customer Relationship Management - a single tool used to oversee and manage the interaction of a company with its clients. |
| Enterprise Call Routing |
Choose a touch-tone menu between 1 and 9 for a basic configuration, and assign an outside number to the option. This enables you to route your caller to up to 9 outside numbers or extensions. Alternatively, advanced users can set up multiple menu levels and add virtually unlimited extensions with unique assignments. |
| Enterprise CRM |
Every Contact Record in your Contact Manager comes with some standard fields (such as Name, Address, City, and etc.). You may find that you want to have your own fields added to the Contact Record. No problem! The Contact Manager allows you to create custom fields that you can display in your Contact records. Whatever additional information you may want to maintain on your contacts, you can create a custom field that will store that information. Create custom forms for your website. Merge custom field information into your emails. |
| Folder Shaing |
Enterprise package subscribers may opt to mark specific folders for sharing. You can set permissions as well as specific user access. All other package subscribers have the ability to map to a shared folder of an Enterprise user. |
| Follow-Me |
Simply put, it is a way to tell ProComm, "Try to reach me at these telephone numbers." When someone calls your toll-free number, you can have the system set up so that when they press the appropriate touch-tone, the system will put their call through directly to you. They will be prompted to state their name and then they will be placed on hold while the system attempts to reach you.
You will receive a call from the system stating, "You have a call from <name of the person calling>. To accept this call, press 1. To send the caller to voicemail, press 2." You simply decide what to do with the call and press the appropriate key.
It's important to note that the numbers you program to each Follow-Me menu are rung simultaneously. |
| Greetings |
Greetings are pre-recorded messages used throughout your phone configuration. Your main greeting is what a caller hears when he first calls your 800 number. Your voicemail greeting is what a caller will hear when transferred to your voicemail box prior to being prompted to leave their message. You may also record informational greetings and assign them to the touch-tone menu, also referred to as "message-on-demand". |
| Message-On-Demand |
This enables the subscriber to assign pre-recorded messages, also known as "information greetings", to the touch-tone menu. A caller may listen to each message by entering the corresponding touch-tone response. |
| Planner |
This is the ProComm calendar. It allows you to schedule events days, months, or years in advance. If you wish to invite others to your event, use the Attendees field in the event. They can be other ProComm users or not. If you have an event that occurs on a regular basis, such as a weekly business luncheon or an anniversary, you can set your system to place it on you calendar as a recurring event.
You can even have multiple Planners: business, personal, shared, etc. |
| POP3 Email |
You can configure the ProComm to send and retrieve messages from most external email accounts to which you have POP access. An account with POP access is one that you are able to access through an external email client. For example, a POP3 email account could be yourname@company.com. |
| Tasks |
The Task Manager provides you with tools that allow you to set tasks for yourself and track each task's completion in one simple format. It also allows managers and team leaders to assign tasks to members of their organization and track the completion rate of each task, thus giving the manager up-to-date information on their team's activities and the completion rate of projects. |
| Touch-Tone Menu |
The "Touch-Tone Menu" window allows you to control what functions you want to occur when a caller presses a particular number on their telephone keypad. You can set it so that any key between 1-9 will perform any of the following actions: play a greeting, send caller to voicemail, send caller to your Follow-Me, activate Fax-on-Demand, or transfer the caller to an outside line instantly. The package you purchase determines how many of the previous actions are available to you. |
| Unified Messaging |
This is the integration of different message formats (email, voice, fax, etc) into a single inbox accessed via a web site. All message formats can be viewed, replied to, saved, or deleted via the one client system. |
